MobileOps, MM-SEAS Partner to Automate Sea Service Letters

MobileOps and MM-SEAS have announced a strategic software integration aimed at reducing administrative delays and compliance-related vessel downtime by automating crew credential tracking and Sea Service Letter generation.

The partnership connects MobileOps’ fleet management platform with MM-SEAS’ U.S. Coast Guard licensing software, allowing vessel operators to monitor mariner credentials and training status directly within their operational dashboard. The integrated system is scheduled for full customer release by the end of the first quarter of 2026.

According to the companies, the integration is designed to address a common industry challenge—vessels being delayed or sidelined due to expired or incomplete crew credentials. By synchronizing U.S. Coast Guard licensing data in real time, operators can track Merchant Mariner Credentials (MMC), Transportation Worker Identification Credential (TWIC) cards and medical certificates before a vessel gets underway.

A central feature of the partnership is the automation of Sea Service Letters. Using operational data captured through MobileOps’ crewing software, the system logs sea time automatically and generates U.S. Coast Guard-compliant Sea Service Letters with digital signatures, reducing the manual paperwork traditionally handled by shoreside staff.

David Hill, president and CEO of MobileOps, said the integration responds directly to customer demand for a more streamlined compliance process.

“MMC compliance has historically relied on manual data entry or disparate spreadsheets,” Hill said. “By connecting our platforms, licensing data is integrated directly into fleet operations, giving managers the tools they need to verify regulatory compliance before a vessel sails.”

Hill added that placing licensing and operational data within a single system reduces the potential for duplicate data entry while improving accuracy and administrative efficiency.

From the mariner’s perspective, automating Sea Service Letters addresses one of the most persistent frustrations in the credentialing process, MM-SEAS President Nate Gilman said.

“Creating Sea Service Letters in the exact format the Coast Guard requires has long been a pain point,” Gilman said. “By logging each sea day automatically and generating letters from verified data, the process becomes faster and more reliable for both mariners and operators.”

In addition to automated documentation, the integration includes notification alerts for upcoming credential expirations, real-time synchronization of licensing data and a consolidated compliance dashboard within MobileOps.

The companies said the partnership is intended to standardize how personnel data is managed across operational platforms, helping operators avoid last-minute compliance issues that can lead to costly delays.
